Where do I create my event form?
From your Springly platform, go to: Forms > Events > + Create an event.
If this doesn't appear, enable the feature from Settings > Feature Selection, and turn on "Events". Learn more in the article: Enable or disable features.
How do I create my event form?
The setup takes place in five steps:
- General Information,
- Pricing,
- Form,
- Payment and Confirmation,
- Publication.
1. General Information
Fill in the main details of your event:
the form title;
an image and a description;
contact information;
the date and time of the event;
You can also add terms and conditions or attachments.
👉 Check out the article Customize the appearance of your forms to make them more appealing.
2. Pricing
Create your different options by clicking "+ Price".
You can choose from several types of pricing:
- Main price: at least one is required to publish your form, and registrants can only select one main price at sign-up. E.g. "Standard ticket" and "Youth ticket (under 18)",
- Optional price: order a T-shirt, a meal, ...
- One-time donation: give attendees the option to make a donation at the time of registration,
- Open-ended responses: ask attendees a question. For example: "Do you have any allergies?"
- File upload: parental consent form, ...
By clicking the + options button, you can access more advanced settings. These can be enabled from your General Settings > Settings page under the Forms & Ticketing tab. Everything is explained in this article: Advanced form settings
Once a first price has been created, you have 2 additional options:
- Add a price group: If you offer many prices, create price groups to make them easier to read and understand. Simply click the "Add a price group" button, name it, and drag your prices into it.
- Add a discount: This lets you set up 2 types of discounts. A discount based on the number of participants (e.g., a discount if 2 or more people register at the same time). A discount for members of your community (members, donors, members of a dedicated group).
3. Form
Select the information to request from participants when they register. For each field, indicate whether it is required, optional, or not requested.
If you want to create a new field, check with a primary administrator of your platform and/or refer to this article: Setting up your contact database fields.
4. Payment and confirmation
Choose the payment methods you accept at registration:
- payment card, payment in full
- payment card in installments (in this case, you set the number of installments and the interval between each one)
- other offline payment methods: checks, cash, other
You must select at least 1 payment method (even if the event is free).
In this section, you can also customize the message in the confirmation email — a great opportunity to add a thank-you note!
More advanced options are also available by clicking "More options". You will be able to:
- Issue or disable e-tickets
- Limit the number of participants for the event
- Set a maximum number of registrations per person
- Receive an email for each registration, limit the number of registrants
These settings may not be enabled by default on your platform. You can customize what is displayed in Settings > Customization > Forms & Ticketing (requires going through one of the platform's main administrators). Read this article to learn more: Choosing the general settings for your forms and ticketing
5. Publication
Define how participants access the form:
Via a link: the sharing link will be available once the event is Saved and Published.
URL link, iframe link, and social media sharing links available.Form publication: publish the event on a page of your website. Requires having created a page of the "Forms, ticketing" type. Read this article to learn more: Sharing your forms: memberships, donations, ticketing, and online shop
or decline online registrations. Sign-ups will then be added manually by Springly administrators
Switching the form publication from "Via a link" to "Publication on the website" (or vice versa) has no impact on the form's URL link. It will not change.
Finally, you can set the availability dates for your event form. Outside of these dates, people will not be able to register through your form. Dates can be changed at any time by administrators (for example, if you want to extend a form).
Details: "Via a link" publication
Specify who can access the page:
- either anyone with the link you have shared
- or specific people based on custom rules (Community, Members, etc.). They will need to be logged in to their Springly account. This will prevent people outside your nonprofit (without an account) from registering.
You will also have an iframe link available to share the form on a website independent of Springly. Learn more: Embedding a Springly form on an external website
Details: "Publication on the website"
The On the website option lets you publish the event form on a page of your Springly website. For the form to be visible, the page hosting your form must be placed in a site menu from Website > Menu and Pages (inaccessible if the page is in draft or in the trash).
Your website must also be active (not in maintenance mode). You can manage this from Settings > Website.
Finally, who can access the form is determined by the visibility rules of the page itself. Learn more: Managing the visibility of website menus and pages
Save the form
Once all sections are configured, click Save.
The form status appears as Published by default (unless you saved it as a draft).
If saving the form fails, the section causing the issue will be highlighted in red. You will need to fill in the missing information and save again.
How do I share my event once it's set up?
If you chose to publish your event on your website or via a link, you will land on the "Distribution" tab after saving the form.
Check out the dedicated article to learn more about how you can promote it: Sharing your forms: memberships, donations, ticketing, and online shop
How do I check if my form is working?
If you saved your form as a draft just to check how it looks, don't forget to go back to the Configuration tab to change its status from "Draft" to "Published", then save.
A good practice: test your event in a private browsing window, or ask one of your members to register as a test 😉
Understanding the different form statuses
You can change this publication status by switching the form to draft, sales paused, or archived.
Archive your events to keep your admin space organized. Learn more: Archiving a form or changing its status.
