In some cases, you may want to add multiple members at once. For example, if you are just getting started with Springly and already have dozens of members, you can easily import your history into the software. You can add your members in bulk using an Excel file import.
This article covers the following topics:
- How to access the import page
- How to import members step by step
- How to record imported memberships in accounting
The import adds a membership period to an existing member or to one created during the import.
This import does not allow bulk editing of membership information already recorded in the software.
Don't want to import members through a form? Set membership durations for existing members directly from the list of registered persons, as explained here.
How to access the import page
Prerequisite: you must have already created a membership form. If you haven't done so yet, refer to this article for more information: Create your membership form
The bulk member import is done from a membership form, accessible from the Forms > Memberships page. Use the search bar to find the form you need.
Once you've found it, access the member list by clicking "Manage registrants".
You will land on the member list.
If people have already registered through your form, you can click the "Import members" button.
If your list is empty, click "Import your membership history" at the bottom of your screen.
You will land on the import page.
How to import members step by step
Preparing your import file
Before you start, we recommend reviewing the required format. Read through the information listed on this page and use the sample file provided.
❗ A single import supports a maximum of 1,500 people. For larger histories, split your data across multiple imports.
Members you want to import may already be recorded in the software. In that case, add a column to your Excel file listing their unique identifier to avoid duplicates.
Once you've opened the sample file, identify the fields related to the membership, specifically:
- The transaction amount
- The transaction date
- The membership start date
- The membership end date
- The payment method (optional)
The information entered in these fields will be used to generate the membership in Springly.
Copy/paste the Excel file
Once your Excel file is ready, select all cells (Ctrl + A), copy them (Ctrl + C), and paste them (Ctrl + V) into the designated area at step 2. Then click "Next".
Field mapping
Next, check that the fields defined in the software (on the left) match the column headers in your Excel file (on the right).
Pay close attention to the fields corresponding to membership information.
Pre-import review
This step lets you correct any formatting errors by editing values directly in the interface. A table displays your contacts and flags any errors. The Do not import option is available for affected rows.
Finalize the import
This final step lets you complete the import and, if you wish, add the imported members to a group.
You can only add members to one group per import. To distribute members across multiple groups, split your Excel file accordingly and run a separate import for each group.
This membership will be added to each person's profile. From Community > Contacts, they will appear with the Member icon and can be filtered using that criterion.
How to record imported memberships in your accounting
Important: the import does not automatically create the corresponding accounting entries for the membership. Each entry will need to be recorded manually.
To add the accounting entry, go to the transaction detail page for the member in question, then click the Add to accounting button. You will then be prompted to fill in the entry details, just as you would for a standard revenue or expenditure entry.
