This article explains how to find, search, and export the list of people registered through a form: members, donors, event participants, or online shop buyers. It is intended for nonprofit administrators who manage published forms.
- Where to find form registrants
- How to search within registrant lists
- How to export the information of your choice
- What information is included in the Excel export?
This works the same way across all your campaigns: memberships, donations, event ticketing, and Product Sales.
Where to find registrants for a campaign
From the campaign
- Open the Forms tab in your platform.
- Locate the relevant form.
- Click the Manage members / donors / registrants button.
The list of registrants for that form (members, donors, participants, or buyers) is displayed.
Example: You want to view the list of people who signed up through your Membership Campaign.
From Contacts
Everyone who signs up through a Donation Campaign or Membership Campaign is automatically added to your contact list under Community > Contacts.
Use the "Filter by" field to display your members or donors:
Use the Filter by field to display your members or donors:
Members and donors are also identified by color-coded badges:
- A yellow badge means the member's membership is active; a gray badge means they are a former member;
- A green heart is displayed for anyone identified as a donor.
Only members and donors can be filtered and receive a badge. People registered through an event form are not automatically added to the community. If they are already recorded as contacts, no filter or badge allows you to identify them.
How to search within registrant lists
To search for someone in the list, enter their first or last name in the Search field at the top of the page.
You can also filter the list of registrants by payment status, payment method, or sign-up transaction status.
How to export the information you need
You may need to export your sign-up data to Excel or as a PDF.
Here's how to do it:
- Check the rows for the people you want to export. To export all registrants, click Select all X rows.
- Click the Excel icon.
- Choose your preferred Excel format, then click Continue.
The Excel file downloads to your computer.
To export as a PDF, follow these steps:
- Click the + options button (1).
- Check Generate a PDF list (2).
- Click the Confirm button (3).
Select the information to display in the document, then confirm. The PDF list downloads to your computer.
For PDF exports, you don't need to select individual members — only a full list export is available here.
What information is included in the Excel export?
Here is a non-exhaustive list of the information included in the Excel export:
- Registrant first and last name;
- Transaction amount;
- Transaction number;
- Buyer's email address;
- Payment status;
- Transaction creation date;
- Mailing address;
- Information from the custom fields included in the form.
The content of the file depends on the information you choose to export. The Excel export does not reflect changes made after the fact to member profile records: only the information entered at sign-up is included.
Registrant lists are displayed in reverse chronological order, from most recent to oldest.
