The Community app is the module that lets you manage your member database — meaning all the people your organization interacts with (individuals and organizations). You can add contacts, segment them into groups, search for them, contact them by email, and configure the information you collect.
Below you'll find an overview of the main features of this module, along with links to other articles explaining how each one works in more detail.
This article covers the following topics:

How does the Community app work?
How the Community app works
The main page of this app is the List of Registered Persons. It displays all the people in your database in a table view. From here you can see:
- The information collected on members (1);
- Access to their profile page (2);
- Their status (donor, member, etc.) (3).
The registered persons page makes it easy to access your members and their information. From this page you can:
- Manage the community by adding or archiving members. You can also update their information, change their status, or add them to groups;
- Search for a specific person or organization using the search bar and filters;
- Email your entire community.
You can later customize your member database by creating your own groups and information fields so the app truly fits your needs.
For legal entities, see the article Managing your entity database (Entity CRM).
How do you manage your members in the Community?
When there is no longer a reason to keep someone in your community — for example, a former member — you can archive them, which also removes them from your subscription count.
Note that the count of members registered on your platform (for your subscription) includes both individuals and legal entities (organizations).
If needed, segment your community by adding members to groups. You can identify them quickly and use dedicated features (attendance sheets, email sending, etc.).
How do you search for a person in the Community?
Member display loads in batches of 50 rows and is capped at 1,000 rows to keep your browser running smoothly. The idea is to display only the members you need.
To do this, three methods are available:
- Filter by member type or by group;
- Run a search;
- Use a multi-criteria filter via the Advanced Search feature.
These tools display people whose profile contains information matching your search criteria.
How do you contact your Community?
The contacts page lets you contact your members in just a few clicks by selecting specific people or your entire community.
You can also apply a filter or a search using the features mentioned above to reach only the relevant people.
- Select one or more people, or click Select all rows;
- Click Contact;
- Write your email, then send it.
The email is then sent and appears in your platform's sent email history.
If you contact more than 50 people, you will be redirected to an email campaign. See the article Send an email campaign to learn more.
Choosing the Community's Unique Identifier
Community settings are managed from your platform's settings center, accessible via the Settings link at the bottom of the left sidebar (Settings > Community). You can also access it from the Community > Settings page. There you can define the member identification method (unique identifier) and the information to collect (information fields).
Choosing the unique identifier
You can choose from several methods:
- Email, convenient unless some members share one or don't have one;
- Contact ID, a flexible method based on a number generated by the software;
- A specific field, which you create and define as the identifier.
Creating custom information fields
The software offers 8 default information fields to populate your profile records. You can also create your own fields to collect additional information based on your needs.
How to export your Community?
You can export your members in Excel format from the Registered Persons List:
The Excel file downloads to your computer with the selected people and columns.
The export follows display limits: 1,000 rows maximum. If your community is larger, run multiple exports using filters.
